Documented is designed from the ground up to protect your privacy. Your matter content — event narratives, statements, evidence, tags, and private notes — is encrypted at rest and is not accessible to Documented as an operator in the course of normal business. We collect and hold the minimum information necessary to provide the service.
Account metadata: Your email address, account creation date, login timestamps, subscription status, and IP address of login events. This information is necessary to operate your account.
Matter content: Event narratives, statements, tags, people records, evidence files, and private notes you create. This content is encrypted at rest. We do not access it in the course of normal operations.
Usage data: Feature-level usage analytics without any content from your records. No matter content ever enters our analytics systems.
When Documented receives a subpoena, court order, or other legal process, we will produce only the data we actually hold for the targeted account. In most cases this means account metadata only — not matter content, not your narratives, not your evidence files.
We will notify you when we receive legal process targeting your account unless we are legally prohibited from doing so. We reassess prohibited notifications regularly and notify you as soon as legally permitted.
We publish an annual Transparency Report disclosing the aggregate number of legal process requests received and how they were handled.
When you delete your account, your matter content is purged from our production systems within 24 hours. Backup copies are removed within 30 days of confirmed deletion. Security audit logs are anonymized rather than deleted to preserve audit trail integrity.
Billing records are retained as required by applicable financial and legal obligations.
You can export all your data at any time in PDF, JSON, and ZIP formats from your account settings. You can delete your account and all associated matter content at any time. You can contact us to ask what data we hold about you.
